How to Create a SavedQuery
Issue/Problem
User
uses Search in DocuShare often and the same type of search is performed
regularly. There is a way to save the search criteria to save time?
Solution
It
is possible to save a search criteria as a SavedQuery so that it can be
used over and over again.
To
create a SavedQuery you must first perform the desired search:
When
logged into DocuShare. Click
on Advanced link in the upper right
hand corner near the Search box. The Advanced Search page will display. Choose
any specific criteria that fits what you are looking for. Under
the Objects Types to Search section,
select the type of Objects by placing a checkmark in the checkboxes that apply. Under
the Document Types to Search, select
all that apply. Click
the Search button at the bottom of
the page. After
the search results are displayed, select SavedQuery from the add drop
down menu. The Add SavedQuery page will display. In
the Title field, enter a title for
the Query and any other information to identify the Query including Summary,
Description Keywords, etc.. Choose
any other additional criteria that may fit what you are looking for. Under the Objects Types to Search section, select
the type of Objects by placing a checkmark in the checkboxes that apply to
narrow the search results. Under the Document Types to Search, select all
that apply or narrow the search results by selecting “Limit search to selected
document types”. Click the Save Search button at the bottom of the
page. The Locations page will then display. Click the Show All button Highlight the desired
Collection or Workspace in the Possible
Locations and click the Add button
to move it to the Selected Locations box and add any other additional locations
that you may require. Note: The locations selected will be the
initial location where the Saved Query will be saved. Click the Update Locations button. The Saved Query will
now be displayed in the Collection(s) or other location you specified. This Query can be run
manually at any time and the results of the query will reflect what is current.
